Contact management

3C Office registers your contacts into the database as a list of persons and organizations. All fields of a certain contact are grouped by type. In addition to general information about the contact, the program pre-supposes fields relating to various communications with the contact as well as additional information represented as bookmarks: remarks or attached documents.

Contacts and Companies

If you want to work directly with a certain person, select Contacts from the main menu. Similarly if you want to work with a company, select Companies from the main menu.

In the upper section of the displayed window find a list of contacts, in the lower section find a pane with tabs for details associated with the selected contact. If you choose to work with a Contact, this pane will contain information on a company where the selected person works.

For companies the system displays a list of contacts.

In addition the following tabs are available:
- Remarks und Files,
- Distribution list,
- Communications.

Note: We suppose that the list of your contacts may be very long; that is why to speed up the work with the program, the window does not display any data until you define the criteria of your selection and send a query to the database.

Quick Search of Contacts

Search

In the Where field define the criterium of your search. Later this criterium will be used for filtering results from the database. For a quick search you can select only one filter attribute. Enter the necessary keyword or phrase into the Look for field. For example, to find contacts who live in the Sunny Town, first select City and then enter Sunny, after what press the Search button or press Enter on the keyboard.

Advanced Search

The Advanced Search option offers you much broader possibilities for searching through the database.

Click the Advanced_Search button. A mask for entering search criteria will be displayed. Enter the necessary attributes and click Search.

Adding a New Contact

To add a new contact, click the button (New Element) to the left of the list of persons or companies. Attention: When you create a new person, the program tries to set the current company as the work place for the newly added person.

There is a list of common contact attributes supported as /First Name/Last Name/Street Adress/City/Country etc.

For comunication in busines context Special Attributes are important.

Preferred way of Communication describes which kind of communication - eMail, Fax or Letter - should be used by default to send a message to a contact.

Position describes the role of a person in the employing organisation, it should be picked from a predefined list.

Job Title is alternative textual description of a job, it can be useful if it does not exactly match the position, or if it is written in another language, i.e. Managing Director.

Delete Contact

A current record with the selected contact can be deleted with the help of the button.

Note: Communications associated with the contact as well as Distribution Lists will not be deleted. Thus they can be re-assigned to another contact. However Remarks and Files will be removed without a possibility to restore them.
