Workflow Process definition

To describe processing that take place in your organization, the Administrator user should use an embedded editor that sets definitions for typical processes of your business. The workflow created in this way will be used at a template for your communications.

In contrast to classic systems, that use graphical editors, 3C Office supports description of processes logics as a tree-structure, allowing you this way to jump to certain steps and even to describe cycles. This form of representation is more custom for bureaucrats, and in addition it suits the form of data representation – processes and communications.

Tree Roots - Processes

The Administrator must define the major types of processes that exist in your company.

Usually these types correspond to your departments. Using a corresponding command in the Main menu/Directory/Administration/Workflow you open into the editor of business processes.

Tree Branches - Tasks

Tasks describe steps that should be carried out to complete the whole process. To set an action name, it is advisable to use a Verb + Noun pair. At that, the verb describes the action while the noun defines its object. For example, Send Invitation. Tasks can have embedded units that describe separate sub-tasks implemented successively. If there is a conventional embranchment, for example, for cases, when a task is selected depending on user’s response, the condition in the task body is checked.

To organize embranchments and cycles, you can create a pseudo-top that will refer to an already existing top of the tree.

Elements - Reactions

To describe the process logics in details (for example, to establish a condition when depending on user’s response a specific action is taken), in the task body you should create a top of the State type that will define reaction.

For example, to differ negative responses from positive responses to your proposal, create a State-top called Invitation. Declined after which the following action should follow: send a thank-you message and complete the current process.

Elements - Documents

For each task you can set templates for documents that may be generated in the process of implementing certain actions and used for information exchange between correspondents.

In the example with the invitation offer this can be a Trade Invitation.
